The Role
The Sales Support Coordinator is a critical U.S.-based operational role responsible for end-to-end execution of dealer orders, logistics coordination, sales program administration, and sales reporting. This role serves as the operational backbone of the U.S. sales organization, supporting Regional Sales Managers (RSMs), dealers, logistics partners, technical support, and the Barcelona-based accounting team. The position requires high attention to detail, strong ownership, and the ability to manage a high volume of concurrent activities while ensuring a consistent, “white glove” dealer experience.
What You’ll Do
Sales Operations & Order Management
Own the placement, processing, confirmation, and fulfillment of all U.S. dealer orders, whether received directly from dealers or via RSMs.
Provide traceable written confirmation of all dealer orders and ensure accuracy across order details, configurations, and delivery commitments.
Manage dealer order changes, invoice adjustments, and exceptions, including refused shipments due to damage and RSM-requested order modifications.
Assign VINs to bikes ordered from “In Stock” inventory when not automatically assigned by the ERP.
Assign and manage allocation of available non-visual / side-list inventory, including tracking sales as units are sold by RSMs.
Maintain accurate side-list tracking to ensure promised configurations and associated options are correctly ordered and delivered.
Process and track direct-to-consumer (DTC) ship-to-store orders and coordinate delivery of dealer invoices to accounting and ensure full resolution through processing cycle, with appropriate approvals from President
Logistics, Fulfillment & Import Coordination
Manage communication with logistics and fulfillment partners (e.g., Noatum) to track bike shipments and confirm dealer deliveries.
Proactively identify, communicate, and resolve delivery delays, lost shipments, damage claims, and carrier issues.
Communicate order status, tracking details, and resolution plans clearly to dealers and RSMs.
Support inbound operations, including coordination related to import and customs activities.
Track missing parts, backorders, and post-delivery shortages; provide ETAs and proactive updates to dealers and RSMs.
Dealer & RSM Support
Serve as a primary non-technical point of contact for dealers regarding orders, inventory availability, invoicing, payments, launches, and sales programs.
Support onboarding of new dealerships, including account setup, training on ordering processes and systems, and coordination with internal teams.
Assist RSMs with dealer communications, reporting, and execution of monthly and quarterly sales initiatives.
Provide accurate, timely information to RSMs to support territory management and dealer engagement.
Sales Program Administration
Support the rollout, administration, and tracking of national and regional sales programs, promotions, incentives, and rebate initiatives.
Create, manage, and maintain live tracking tools (Google Docs, Excel-based reports) to support U.S. sales programs and inventory visibility.
Manage Stark Wallet credits (e.g., DTC ship-to-store, kickbacks), including documentation, approval coordination, and tracking.
Coordinate rebate tracking, processing, and payments with Accounting if rebate programs are launched.
Audit sales program compliance and assist in resolving discrepancies.
Data, Reporting & Compliance
Prepare and distribute recurring U.S. sales reports, including unit sales, YOY/MOM performance, dealer scorecards, pipeline activity, demo rides, new dealers, and DTC breakdowns.
Using Power BI and internal systems, create and maintain practical, decision-ready sales data sheets for the U.S. President and RSMs.
Maintain clean, accurate data across CRM, ERP, and sales databases.
Track and manage state licensing renewals and sales-related compliance requirements.
Accounting & Administrative Coordination
Work closely with the accounting team on invoicing, payment reconciliation, dealer account tracking, and credit processing.
Maintain organized sales records, agreements, and reporting dashboards.
Manage expense report folders and coordinate expense payments for the U.S. team.
Provide general administrative and operational support to the U.S. sales organization as needed.
Communication & Documentation
Collaborate with the U.S. President, RSMs, and HQ to develop and distribute official U.S. Sales Bulletins (content, graphics, and messaging).
Maintain a centralized, secure digital repository for all official U.S. Sales Bulletins, sales program documentation, and reference materials.
Ensure dealer-facing communications are consistent, accurate, and aligned with approved U.S. sales programs.
Cross-Functional Coordination & Process Improvement
Partner with Sales, Logistics, Finance, Marketing, and Technical Support to ensure a seamless dealer experience.
Provide operational support for product launches, dealer events, demo days and trade shows.
Identify process gaps and recommend improvements to increase efficiency, accuracy, and scalability of U.S. sales operations.
What you will bring to Stark
Required
Experience in sales support, sales operations, order management, or customer service.
Strong organizational skills with the ability to manage multiple priorities and high transaction volume.
Excellent written and verbal communication skills.
Working knowledge of invoicing, payment processing, documentation handling, and vehicle registration or licensing processes.
Ability to track, analyze, and report sales support KPIs.
Proficiency with CRM and ERP systems and strong Excel / Google Sheets skills.
Preferred
Experience in the motorcycle or powersports industry.
Belief in the electric vehicle vision.
Familiarity with logistics, fulfillment, and import/customs processes.
Power BI experience.
Spanish language proficiency highly valued.
French language skills are an added bonus.
